Privacy Policy
Effective October 17, 2026. WrenchNote is made by Southstrand Works LLC.
Questions or requests: privacy@wrenchnote.app
The short version. The WrenchNote app keeps your vehicles, service records, fuel logs, documents and receipt photos on your phone. There's no WrenchNote account. We don't show ads, we don't track you across apps or websites, and we don't sell your data. The app shares anonymous usage data (which features get used, not your records) that you can turn off any time. Your records leave your phone only when you export or back them up yourself.
What stays on your phone
Everything you enter: vehicles (including a VIN if you add one), odometer readings, service and fuel records, notes, costs, document dates and numbers, reminders, and the receipt photos you scan. Receipt text is read on the phone. Before a receipt photo is saved, the app removes its hidden metadata (such as location). Reminders are notifications scheduled on the phone itself; no push service is involved.
When the app uses the internet
- VIN decoding, when you ask. If you look up a VIN while adding a vehicle, the VIN is sent to the U.S. National Highway Traffic Safety Administration's public vPIC service to fill in year, make and model.
- Recall alerts. About once a day the app asks NHTSA's public recalls service about your vehicles' year, make and model only, never the VIN. "Check with your VIN" copies your VIN and opens NHTSA's website; nothing is sent until you paste it there yourself.
- Receipt scanning. The document scanner and text recognition run on the phone: on Android through Google Play services and Google ML Kit, on iPhone through Apple's scanner and ML Kit. The scanner component may be downloaded the first time you use it.
- Purchases. WrenchNote Lifetime is bought through Google Play or the App Store; your payment details stay with them. We use RevenueCat to confirm a purchase. It receives a random app ID (not your name or email) and the store's purchase receipt. That random ID appears in the app as your "Support ID" so we can help if a purchase goes wrong.
- Crash reports. If the app crashes or hits an error, it sends a report to Sentry so we can fix it: the app and system version, the device model, and what the code was doing. Before a report leaves the phone, the app strips VINs, email addresses, plates, document numbers, notes and receipt text from it, and it never includes who you are. IP addresses are not stored with crash reports.
Anonymous usage data
To learn which features are used and where people get stuck, the app sends anonymous usage data to PostHog, which processes it for us: for example "a fill-up was logged" or "setup was finished", plus the app version, your phone's system and model, and a random ID that isn't linked to you. It never includes your name, email, VINs, plates, odometer readings, costs, shop names, notes, receipts, document numbers, your location or your vehicle's make and model. Your IP address is discarded. The complete list is in the app under Settings › Privacy › What we share.
- On by default, and the app tells you so the first time. Turn it off any time in Settings › Privacy › Share anonymous usage data; it stops immediately and the random ID is thrown away.
- In the EU/EEA, the UK and Switzerland it's off until you say yes: the app asks once, and nothing is sent unless you agree.
- No advertising or attribution tools, no tracking across apps or websites, and nothing used for ads.
Your records leave your phone only when you send them
Export creates a PDF report or spreadsheet files and hands them to the share sheet; where they go is your choice. Back up now creates a backup file with all your records and receipt photos, saved wherever you pick (for example Google Drive or Files). Keep those files somewhere you trust. A backup is only ever restored when you choose the file. If Android's own backup is on in your phone's settings, it also copies WrenchNote's records (not the receipt photos) to your Google account, under Google's terms.
The launch waitlist on this website
If you join the waitlist, we store your email address, which phone you ticked (if any) and when you signed up. Nothing else: not your IP address, browser or location. We use it for one thing: a single email when WrenchNote launches. It isn't shared with anyone or sold, and isn't used for marketing beyond that one email. Email privacy@wrenchnote.app and we'll delete it, any time. The list is kept in a Cloudflare database.
Our sign-up form uses Cloudflare Turnstile to block spam bots (Cloudflare's Turnstile privacy information).
This website
wrenchnote.app sets no cookies, shows no ads and loads no third-party fonts. It counts visits with Cloudflare Web Analytics: anonymous, cookie-free visit counts; no personal data, no tracking across sites. It's hosted by Cloudflare, which handles each visit's connection, including your IP address, to deliver the pages and protect the site from abuse. We don't collect or keep visitor logs.
Sharing
We don't sell your data and we don't share it. The only outside services that receive anything are the ones named above (NHTSA, Google or Apple for scanning and purchases, RevenueCat, Sentry, PostHog and Cloudflare), for the purpose described.
Deleting your data
Delete records or vehicles in the app, or uninstall WrenchNote to remove everything the app stored on the phone. Backup and export files you saved are yours to delete. Usage data is anonymous, so it can't be looked up by person; turning it off stops it and discards the random ID. To remove your waitlist email, a crash report or a purchase record, email privacy@wrenchnote.app (for purchases, include your Support ID).
Children
WrenchNote isn't directed to children under 13, and we don't knowingly collect their information.
Changes
If this policy changes, we'll update this page and its effective date. If a change affects how your data is handled, the app will tell you before it takes effect.
